When should you start looking for a wedding venue?
Start as soon as you can state your likely dates, function-wise guest count and overnight requirements. A fixed ceremony date, a large room block or a particular layout reduces flexibility. There is no universal number of months that guarantees availability. Ask about your exact dates and requirements, not whether the venue is generally busy in that season.
If you already have a short timeline, enquire now with alternate dates and formats. Do not assume that a weekday or monsoon date is available, or that a popular date is fully booked, without checking.
What should you settle first?
| Constraint | What to send the venue | What to get back |
|---|---|---|
| Date | Preferred date and acceptable alternatives | Availability for each function and any hold expiry |
| Event layout | Guest count, seated/cluster/floating format and production needs | Named space and a feasible proposed layout |
| Overnight stay | Guests by night, room-sharing assumptions and accessibility needs | Rooms by category, permitted occupancy and dates held |
| Weather | Outdoor functions and the format you need to preserve | Specific fallback, decision time and changeover requirements |
| Commercial scope | Meals, services, supplier preferences and budget | Itemised quote, exclusions and payment/change terms |
The room-block guide helps you calculate accommodation separately. Do not assume that room availability follows event-space availability or that seating can be expanded beyond the approved layout.
A practical booking sequence
Use these stages as a planning sequence rather than a claim about how quickly venues sell out.
- Prepare one brief. Agree the date options, each function's attendance, overnight guests and essential requirements.
- Check fit and availability together. Ask whether the spaces, rooms and fallback you need can be allocated on the same dates.
- Visit and review the layout. Walk guest and supplier routes; check the indoor alternative, accessibility and room locations.
- Compare the written scope. Use the quote worksheet to compare like-for-like inclusions.
- Confirm the booking terms. Establish the hold's expiry, deposit, payment milestones, cancellation and rescheduling terms before paying.
- Coordinate suppliers. Confirm their availability and access requirements alongside the venue commitment.
- Agree finalisation deadlines. Record dates for rooming lists, menus, guest numbers, vendor details and the run sheet with the team.
If the wedding is close
Share which constraints can move. An alternate date may help; a different space or format may also work, but requires a new layout check. Decide which requirements are essential before negotiating alternatives.
Do not compress the checks on accommodation, supplier responsibility, weather arrangements or required permissions. Ask what is feasible within the actual time remaining. A fast enquiry is not a confirmed booking.
If you are planning far ahead
Ask how the agreement handles headcount changes, room pickup, rates, taxes and rescheduling. An early estimate may change as the guest list develops. Request written flexibility where you need it rather than assuming it is included.
Checking dates at Samsara
Use the wedding brochure to identify possible spaces, then ask for a date-specific allocation. The brochure is a planning reference, not a live availability calendar.
| Block | Rooms / suites | Planning note |
|---|---|---|
| Rumah | 24 | 20 rooms and 4 family suites |
| Rahayu | 44 | Confirm room types and occupancy |
| Aanya | 80 | Confirm room types and occupancy |
| Total | 148 | Includes the family suites; availability is date-specific |
Room inventory is not an overnight guest-capacity guarantee. Ask the team to confirm the rooming list, permitted occupancy and rooms held for every night. See the wedding brochure and confirm your allocation with the events team.
For outdoor functions, name the fallback space and confirm that the required seating, dining and production can fit. The rain-plan and event-flow checklist gives you a written decision process to agree with the team.
Check your dates and requirements together
Send your preferred dates and alternatives, function-wise guest counts, room needs by night and essential layout requirements. Ask for current availability and the terms of any hold.
