Wedding Venues with Rooms for 300 Guests: Plan the Room Block First
Published
By Le Roma Samsara · Updated

Can a venue with 148 rooms accommodate 300 wedding guests overnight?
Not from the room count alone. At an illustrative two guests per room, 300 overnight guests would need 150 rooms. Family suites, children, single occupancy and approved extra beds change the allocation. They must be confirmed individually; a venue's event capacity does not establish how many people can sleep there.
Start with two lists: everyone attending each function, and everyone staying on each night. A 300-person reception might need far fewer than 300 overnight places. Use the parent site's room-block checklist to separate those requirements before shortlisting.
What rooms does Samsara publish?
| Block | Rooms / suites | Planning note |
|---|---|---|
| Rumah | 24 | 20 rooms and 4 family suites |
| Rahayu | 44 | Confirm room types and occupancy |
| Aanya | 80 | Confirm room types and occupancy |
| Total | 148 | Includes the family suites; availability is date-specific |
Room inventory is not an overnight guest-capacity guarantee. Ask the team to confirm the rooming list, permitted occupancy and rooms held for every night. See the wedding brochure and confirm your allocation with the events team.
Treat this inventory as the starting point for an enquiry. It is not a promise that every room is available together, that every room accepts the same occupancy, or that your event includes a private buyout.
A worked rooming example
This example illustrates the calculation; it is not a Samsara package or approved occupancy plan.
| Planning assumption | Rooms required |
|---|---|
| 180 overnight guests sharing two per room | 90 |
| 20 guests requiring single occupancy | 20 |
| Optional planning buffer, subject to availability and cost | 5 |
| Requested block for 200 overnight guests | 115 |
The remaining 100 reception guests in this example do not need rooms. Repeat the calculation for every night: arrivals, departures and vendor stays can change the peak room requirement.
For 300 people all staying overnight, send the household-by-household list to the venue. Ask whether the permitted room mix works, or whether a second hotel and transfers are needed. Do not assume triple occupancy or extra beds will close a gap.
What belongs in the room-block agreement?
- Rooms by category, building and night, with the number actually held for you.
- Adults, children, permitted occupancy and any extra-bed charges for each room type.
- Check-in, checkout and whether early arrivals need a previous-night booking.
- Accessibility requirements, walking routes and room locations for elders.
- Meals included for residents, separate from the banquet headcount.
- Deposit, release deadline, cancellations, under-used rooms and who pays incidentals.
- Any overflow hotel's allocation, transfer responsibility and contingency contact.
Ask for the room-block map alongside the count. Use the property map and room booking page as starting points; an individual room search does not confirm a group block.
Can the function layout accommodate the same guests?
Check event capacity separately, using the actual format rather than the largest figure on a brochure.
| Space | Seated | Cluster | Floating |
|---|---|---|---|
| Padma Lawns | 600 | 360 | 1000 |
| Padma Pavilion | 400 | 200 | 600 |
| Savaya Banquets | 250 | 120 | 500 |
The overall event maximum is 1,200; it is not a per-space or overnight figure. Stage, dining, access, weather and the agreed layout can reduce the usable capacity. The covered pavilion is open-sided; confirm its suitability for the weather plan. See the wedding brochure and confirm your allocation with the events team.
For example, a 300-person seated function exceeds Savaya's published seated capacity. Padma Pavilion's seated figure is larger, but its cluster figure is lower. The decor, dining layout and weather fallback still need approval; a change of format is not an automatic substitute.
Arrival and meal planning
Share arrival waves, luggage requirements and a family contact with the venue. Agree the rooming-list deadline rather than assuming a universal cutoff. Confirm where residents eat while a function space is being prepared, and put dietary requirements and meal timings in the quote.
Check your room block and event layout
Share your dates, guests at each function, overnight guests by night, and any single-room or accessibility requirements. Ask our team for a rooming proposal and a written allocation.
